Terms and conditions are important for both hotels and guests. It helps hotels to communicate special terms & conditions, taxes and guidelines for the cancellation. Clearly mentioned terms and conditions also give a sense of transparency to the guest while booking. So while drafting terms and conditions you should keep few things in mind.

Important terms and conditions when a guest books:

Rates: Prefering local currency as booking currency is good practice. Moreover, you should clearly mention local tax rated. Rates are typically per night along with the occupancy for two people. Include rates for extra individual or for children during the booking process. Mention the services which are free or included in the rate plan and one which involves extra charges. Don’t forget to mention all inclusions and exclusions at that rate, i.e. are meals or breakfast included?                          If you charge a different rate for the conference, special events or convention then put them under special terms and conditions.

Occupancy: Mentioning the maximum occupancy per room while customer book a room is a smart strategy. Occupancy per room can change are per the room configuration. Sometimes local health & safety laws affect occupancy per room.

Child Policy: Normally, hotels keep a special child policy. Hotels does not charge any tariffs for children less than 2 years old. Include also rates for the children older than 2 years as per the child age. Clearly outline any rules you may have where children are not permitted.

Accessibility & Special Requests: Form the outline if your property or the rooms are accessible to the customer with disabilities. Consider fulfilling the special requests for the customer depending on the nature of the special request.

Reservations: Mention the minimum age required for the booking, normally 18 years old. Age and identification proof requirement for the domestic and international guests. Clearly outline the check-in and check-out time. What are the booking requirements?

Cancellation Policy: Specify by what time the booking can be cancelled. Typically 24 hours before arrival date is considered fair. On the cancellation within this time period. The hotel can fully refund the money. Funds may take some time to reach this card due to bank processing time.
